Booking Terms & Conditions

Booking & Deposit

  1. A £100 non-refundable deposit is required to secure your booking and chosen date. Your date is not confirmed or held until the deposit has been received.
  2. The deposit can be paid over the phone or in person at The Boarding House.
  3. We understand that plans can sometimes change. Your deposit may be transferred once to another available date, provided more than 14 days’ notice is given before your original event date.
  4. Deposits are non-refundable. If you cancel your event, the deposit will not be refunded.
  5. Within 14 days of your event date, the booking becomes non-transferable and your deposit cannot be moved to another date.

Final Payment

  1. The remaining £175 balance of the Evening Party Package must be paid in full no later than 14 days before your event.
  2. Once within 14 days of the event, all package payments become non-refundable and non-transferable.
  3. Failure to make the final payment by the required date may result in your booking being cancelled and your deposit being forfeited.

Guest Numbers

  1. The Evening Party Package is designed for functions of 60 guests or more, and bookings should be made on the basis that a minimum of 60 guests are expected to attend.
  2. We understand that guest numbers can change after a function has been booked. If your expected attendance falls below 60 guests, please let us know as soon as possible so we can review your booking with you.
  3. A reduction in guest numbers below 60 does not automatically result in cancellation of your function. However, as the Evening Party Package and exclusive use of The Boardroom are offered on the basis of a minimum 60-person function, The Boarding House reserves the right to review the package, room allocation or arrangements where numbers fall significantly below the minimum.
  4. Any promotional offers linked to a minimum attendance, will only apply where the individual promotion’s minimum attendance requirement is met.
  5. The Boardroom can accommodate up to 100 seated guests, with additional space for up to 20 standing guests.
  6. An approximate number of guests should be provided when booking. Final expected guest numbers should be confirmed with The Boarding House prior to the event and must not exceed the agreed capacity of the space booked.

What’s Included

  1. The £275 Evening Party Package includes:
  • Private hire of The Boardroom from 7:00pm until 1:00am
  • Private bar
  • In-house DJ
  • Standard buffet of sandwiches, homemade sausage rolls and Cajun chicken skewers
2. Package inclusions cannot be exchanged for cash or substituted for another service unless agreed in advance with The Boarding House.

 

Food, Drinks & Extras

  1. Additional buffet items, upgraded food options and drinks packages can be added to your booking at an additional cost.
  2. All additional food, drinks packages and other pre-ordered extras must be confirmed no later than 7 days before your event.
  3. Any additional charges must be paid by the agreed payment deadline provided by The Boarding House.
  4. No outside food or drink may be brought onto the premises unless agreed with The Boarding House in advance. Celebration cakes are permitted by prior arrangement.
  5. Any allergies or dietary requirements must be provided when confirming your final food requirements and no later than 7 days before the event.

Room Hire & Access

  1. Evening Party Package room hire is from 7:00pm until 1:00am on the date of your event.
  2. Access to The Boardroom before 7:00pm is not guaranteed. We may have daytime functions, dining or other events taking place in the room earlier that day.
  3. If you would like earlier access to decorate or arrange for suppliers to set up, this must be agreed with The Boarding House in advance.
  4. We will be able to advise you of any available access times closer to your event date, once the day’s other bookings are confirmed.
  5. Please do not arrange for decorators, entertainers, cake suppliers or any other external suppliers to arrive before your agreed access time.
  6. Last orders will be called at the discretion of the Manager on Duty and will be no later than 12:45am. Bar service will finish in accordance with the premises licence and guests will be required to comply with any instructions given by the Manager on Duty regarding last orders and closing time.

 

Decorations & Personal Belongings

  1. You’re very welcome to decorate The Boardroom and add your own touches to the space. We just ask that nothing is attached to the cream walls and that confetti is not used.
  2. Decorations must not cause damage to the venue, furniture or fixtures, or obstruct fire exits, safety equipment or access routes.
  3. The Boarding House does not have storage facilities for decorations, equipment or personal belongings, so we ask that all items are removed from the venue at the end of your event.
  4. Any items left at the venue are left entirely at the owner’s risk. The Boarding House accepts no responsibility for the loss, theft or damage of decorations, gifts, cakes, equipment, clothing or any other belongings left on the premises.
  5. Any arrangements to collect items after the event must be agreed with The Boarding House and will be subject to venue opening hours and availability.

 

Bar & Alcohol

  1. The Boarding House operates in accordance with Scottish licensing law and reserves the right to refuse the sale or service of alcohol where appropriate or required by law.
  2. The Boarding House operates a Challenge 25 policy. Guests who are fortunate enough to look under 25 may be asked to provide acceptable photographic identification when purchasing alcohol.
  3. Alcohol purchased elsewhere cannot be brought onto or consumed on the premises.

 

Conduct & Damage

  1. The person making the booking is responsible for ensuring that their guests behave appropriately and respect the venue, our team and other guests.
  2. The Boarding House reserves the right to refuse service or ask any guest behaving in an abusive, threatening, unsafe or otherwise unacceptable manner to leave the premises.
  3. The person making the booking may be held responsible for the reasonable cost of repairing or replacing any property belonging to The Boarding House that is deliberately or negligently damaged by them or their guests.

 

Entertainment & External Suppliers

  1. Our in-house DJ is included within the Evening Party Package.
  2. Any additional or alternative entertainment must be agreed with The Boarding House in advance.
  3. External entertainers, decorators or other suppliers may be required to provide appropriate insurance, safety documentation or other information before attending the venue.
  4. Access for all external suppliers must be agreed in advance and is subject to the room-access conditions above.

 

Cancellation by The Boarding House

  1. In the unlikely event that The Boarding House has to cancel your booking for reasons within our reasonable control, any payments made directly towards the cancelled booking will be refunded.
  2. Where circumstances outside our reasonable control prevent or materially affect an event, we will work with you wherever reasonably possible to rearrange your booking.

 

Promotions & Offers

  1. Any promotional offers, discounts or vouchers are subject to their own individual terms and conditions and do not automatically form part of the Evening Party Package.
  2. Promotional offers cannot be exchanged for cash or substituted for another product or service unless specifically stated within the terms of that promotion.

General

  1. Any changes or additions to your booking must be agreed with The Boarding House in advance.
  2. The person making the booking is responsible for providing accurate information relating to their event and communicating any relevant booking conditions to their guests or external suppliers.
  3. By paying the £100 booking deposit, you confirm that you have read, understood and accepted these Booking Terms & Conditions.
